BayernCollab is the new Confluence service for Bavarian universities.

How do I log into Confluence?

The service is available to all members of the LMU (employees and students).

To use Confluence, you must activate your user ID once in your user account (Benutzerkonto, in German) on the "LMU-Confluence" tile.

  • Link: https://collab.lmu.de/
  • User name: LRZ ID (see user account, you can find your LRZ identifier directly in the upper section above the tiles).
  • Password: Password of the LMU user ID

Usage Notes for Confluence

As an enterprise wiki, Confluence is suitable for collaborative knowledge documentation, for example within scientific working groups, where the software is used e.g. B. is used as a laboratory notebook. In order for you to be able to use the LMU Confluence, it is necessary to activate your LMU user ID for this service. This process is not reversible.

Confluence is operated by the LRZ. By activating your LMU user ID for the LMU Confluence, you agree to this; Furthermore, you also agree to the Usage guidelines (Benutzungsrichtlinien) of the LRZ (in German) and of the LMU (in German).

  • Anyone using Confluence must be at least 16 years old and have a valid LMU user ID.
  • By activating Confluence, you agree that your name, your LMU e-mail address and any other voluntary information in your user account will be displayed to all other users.
  • The use of Confluence is voluntary, its use may not be mandatory. No personal data of special categories (e.g. health data, data on political or sexual orientation...) may be exchanged.
  • The processing and storage of copyrighted material using Confluence is excluded. You are obliged to comply with all legal provisions, in particular copyright and data protection law.
  • The processing of documents and data containing personal information of persons other than the processor (photos, audio and video recordings, etc.) is only permitted with the express (written) consent of the persons concerned.
  • When linking to external websites, you must check that they do not contain any illegal content and that the setting of the link does not otherwise violate applicable law, e.g. by circumventing protective measures.
  • You may not post any illegal, pornographic, obscene, defamatory, slanderous, abusive, threatening, hate speech or racist content to Confluence.
  • The posting of content for the purpose of advertising of any kind, as well as the transmission of information containing malware, e.g. a virus, an error, manipulation or similar damaging elements, is prohibited, as is the posting of content that affects the reputation of the LMU or the Munich University Hospital (KUM).
  • You may not share or store content in Confluence without permission. Security incidents, suspected security gaps and misuse of the system must be reported immediately to it.security@verwaltung.uni-muenchen.de.

Data protection information for BayernCollab at LMU

BayernCollab serves as an enterprise wiki for collaboration, communication, networking and documentation. It is suitable as an Enterprise Wiki for collaborative knowledge documentation in scientific research projects, for example within working groups, where the software can be used for example as a laboratory book. It serves the cooperation of members of the LMU as well as of LMU members with persons from other universities and universities of Bavaria.

Other participating Bavarian colleges and universities can also use BayernCollab to work together and simultaneously in “Spaces” (closed individual work areas within BayernCollab). The functions are simple, intuitive to use and allow the exchange of information, files, images, videos etc.

The service can only be used as part of your membership of the LMU and in the context of the performance of service tasks

We process your data in accordance with and on the basis of the General Data Protection Regulation (GDPR), the Bavarian Data Protection Act (BayDSG) and the other applicable data protection regulations.

The processing of personal data for the use of BayernCollab takes place in accordance with Art. 6(1)(e), (3) GDPR, Art. 4(1) BayDSG, Art. 5(1) BayDSG, Art. 2 BayHIG.

Insofar as you voluntarily provide personal data and supplement your usage profile, the data processing takes place on the basis of your consent in accordance with Article 6(1)(a) GDPR.

The following personal data are processed in BayernCollab:

  • Name
  • Forename
  • LMU user ID or LRZ identifier
  • LMU e-mail address
  • Your listings in BayernCollab
  • Optional data: Profile picture, profile information (voluntary)
  • Followers
  • Log files or activity log (e.g. date and time of an event, username, action)

There is no unauthorised transfer of data to a third country or to an international organisation. In the context of data transmission, the data protection requirements are complied with. The data transfer takes place only to countries within the scope of the GDPR or to a country with an appropriate and recognised level of data protection.

In order to enable the use of BayernCollab in accordance with the above purposes, personal data must be transferred to other entities outside the LMU:

  • Transmission of the activation confirmation to the Leibniz Computing Centre of the Bavarian Academy of Sciences as a processor with whom a contract processing agreement exists.

No personal data is transmitted to Atlassian Analytics (https://www.atlassian.com/de/agile).

Your user profile is visible to other users and you can be found via the BayernCollab internal search. Benefits of other universities can also be found. Please note that the use of the search and the corresponding personal data may only take place for purely official purposes and only as far as this is necessary in individual cases for the fulfilment of the service purpose. The use of the data for other purposes or a transfer of the data to third parties is prohibited.

Your user profile contains in the initial filling only your first and last name, as well as your official LMU e-mail address stored in the user account. Anyone using BayernCollab can see your user profile. A restriction or blocking of visibility is currently not technically possible.

On a voluntary basis, you can save a photo or add, change or delete further profile information. For data protection and data security reasons, it is strongly recommended that the data protection principles of data minimisation and purpose limitation as well as privacy by default (data-efficient basic setting) be observed and to be supplemented only to the extent that this is absolutely necessary for the fulfilment of the tasks incumbent on the LMU. This means not to make use of optional information (e.g. profile picture) and not to follow other users, as this information is also visible to all BayernCollab users. Additional profile information or follow-up data are not required for the use of BayernCollab.

When you collaborate on content or documents within your Spaces, the changes you or other documents make to jointly editable documents will be visible to all BayernCollab users.

It is possible that other users can also see from outside your spaces what changes you have made and at what time.

The stored data will be processed as long as and insofar as this is necessary for the respective purpose of data processing in the context of the use of BayernCollab. You can and should delete your created content, e.g. Spaces, at any time as soon as or insofar as these are no longer necessary for the service purpose.

Voluntary information in the user profile can be removed or changed at any time.

Your BayernCollab profile and the associated personal data remain visible to other BayernCollab users up to 3 months after the deletion of your LMU user account.

Your LMU account will be deleted one year after you leave the LMU. After that, your BayernCollab profile will be anonymised, instead of your name, “unknown user (identification)” will be displayed.

The document properties of attachments (individual documents created by BayernCollab), including, where applicable, the name of the creator, are retained even after the anonymisation of your BayernCollab profile.

Please note: Your profile information or personal data in “Spaces” can be freely viewed by other users. It is therefore not excluded that this data can be used unlawfully and used without authorisation. A final deletion of this data cannot therefore be guaranteed by the LMU.

You have the right to obtain information about the data stored about you (Art. 15 GDPR). Should incorrect personal data be processed, you have a right to rectification (Art. 16 GDPR). In addition, you have the right to erasure (Art. 17 GDPR), objection (Art. 21 GDPR), restriction (Art. 18 GDPR) and to withdraw consent for the future. The lawfulness of the data processing carried out on the basis of the consent until the withdrawal is not affected by this.

If you wish to exercise your rights or if you have any questions, please contact the responsible data processing department (see above). It checks whether the legal requirements are met and then takes the necessary measures.

  • You must be at least 16 years of age to use the Service. If you are under the age of 16, you need the explicit permission of your guardians to use the service.
  • In order to be able to use the service, you need an LMU user ID, which you must unlock once in your user account to use the service. The service is linked to the central identity management of the LMU. Without an LMU user ID, it is not possible and permissible to use the service.
  • The activation of your LMU user ID for BayernCollab is associated with the fact that your name, your LMU user ID and, if applicable, further information, as far as you enter it in BayernCollab, will be displayed to all other users (including other participating Bavarian universities and colleges). The corresponding data of other users may only be used for the purposes of the service and may not be passed on to third parties without authorisation.
  • Please make sure that you assign the correct persons when assigning rights for a space, especially if there are several persons with the same first and last name - the LRZ ID is only assigned once.
  • BayernCollab may only be used for official purposes, i.e. for the performance of LMU’s tasks in the public interest. Use for private purposes is prohibited.
  • In BayernCollab, no personal data of special categories (e.g. health data, political or sexual orientation data), data that are subject to professional secrecy protection (§ 203 StGB) or a special duty of confidentiality (e.g. personal file data), or security-critical information (e.g. accesses and passwords) may be processed, stored in particular or exchanged with other users.
  • All legal provisions, in particular copyright and data protection law, must be complied with. When linking to external websites, you must always check that they do not contain illegal content and that the link setting also does not violate applicable law, e.g. by circumventing protective measures.
  • You may not post pornographic, obscene, defamatory, defamatory, offensive, threatening, inciting or racist content in BayernCollab, punishable acts of punishment.
  • You must immediately report security incidents, suspected vulnerabilities and misuse of the system to it.security@verwaltung.uni-muenchen.de.
  • The processing of documents and data containing personal information of persons other than the processor (photos, audio and video recordings, etc.) is only permitted with the express (written) consent of the data subjects.
  • Data from BayernCollab may not be used for behavioral and performance control.
  • The posting of content for the purpose of advertising of any kind, as well as the transmission of information containing malicious goods, e.g. a virus, error, manipulation or similar harmful elements, is prohibited, as is the posting of content that damages the reputation of the LMU or the Klinikum of the University of Munich (KUM).
  • If you collect or process personal data beyond the standard data (see data protection notice), you or the Space Admin may need to take additional measures. Where necessary, a processing description or additional data protection information must be prepared. If necessary, please contact your data protection contact person for clarification.
  • It is possible to make spaces publicly visible even without login. You can apply for this as a Space Admin and are then obliged to comply with the requirements. Publicly visible spaces must comply with telemedia lawrequirements, in particular provide for provider identification (imprint). All information about Spaces’ “publication” can be found in the LMU user account.
  • Spaces or data that are no longer required or inactive must be deleted or anonymised immediately, unless legal retention obligations apply in individual cases.
Please note that this IT offer may not be available at times, e.g. due to maintenance work. We will inform you – as far as possible – of unavailability in time.
